How we collect information about you

Everything we do at Belong, we do to ensure that we can help people impacted by crime get individualised support to recover and move on. We want to make sure you receive communications that are most relevant to you. We may collect data from our website for a number of reasons, for example:

  • When you interact with us directly- either by phone, email, or post. For example, if you sign up to our newsletter. 
  • When you interact with us through third parties: This could be if you provide a donation through a third party such as Charities Aid Foundation. 
  • When you visit our website. 

If you have provided your email address and other personal information on our website, we will only process your details for the reason you submitted them. For example, if you have signed up for our newsletter, we will only use your details to contact you with our newsletter. 

Information we collect and why we use it

Personal information we collect, store and use include details such as your name, date of birth, email address, postal address, telephone number, donations, as well as information you provide in any communications. 

We may use this data to:

  • Process your donations or other payments, and/or to claim Gift Aid on your donations and verify any financial transactions.
  • To provide the services you have requested.
  • To update you with important administrative messages about your donation, event, or services. 
  • To keep a record of your relationship with us. 
  • To contact you about our work and how you can support us- if you have consented to this. 

Legal basis for using your information

Data protection laws mean that each use we make of personal information must have a “legal basis”. The relevant legal bases are set out in the General Data Protection Regulation (EU Regulation 2016/679) and in current UK data protection legislation.

We keep and process personal information about individuals, in order to fulfil legal obligations,
including those pertaining to employment, fundraising, taxation and health and safety and in the course of our legitimate activities in connection with our charitable purposes.

You may have consented to your information being used in a certain way (for example by signing up to a newsletter, or engaging in our services). You have the right to withdraw consent for any future use of your information for this purpose, at any time. You can do this by emailing enquiries@belonglondon.com, or contacting us by telephone.

 

To use your personal information for specific circumstances, we will ask for and store your consent. However, we have a duty to share information without your permission under certain circumstances. Wherever possible, we will discuss this with you first. We have a duty to share information:

  • If the safety/security of other service users, staff or the community is compromised by not revealing information
  • If Belong: Making Justice Happen believes you may be at risk of self-harm or risk of harm to any person
  • If Belong: Making Justice Happen has concerns for the welfare of any children

 

Legal obligation

 

We have a basis to use your personal information where we need to do so to comply with one of our legal or regulatory obligations. For example, a court order may require us to process personal data for a particular purpose and this also qualifies as a legal obligation.

Sharing your information

The personal information we collect about you will mainly be used by us so that we can support you to receive accurate, relevant information from us.

 

We will never sell or share your personal information with organisations so that they can contact you for any marketing activities.

 

We may disclose your information if required to do so by law (for example, to comply with applicable laws, regulations and codes of practice or in response to a valid request from a competent authority). We have a duty to share information without your permission under certain circumstances. Wherever possible, we will discuss this with you first. We have a duty to share information:

Keeping your information safe

We know how much data security matters and we treat your data with the utmost care and take all appropriate steps to protect it. We ensure that there are appropriate technical and organisational controls (including physical, electronic and managerial measures) in place to protect your personal details.

 

How long we hold information for

We only keep your data as long as is reasonable and necessary for the relevant activity, which may be to fulfil statutory obligations (for example, the collection of Gift Aid).

Your rights

You have the following rights over your personal data:

  • To receive a copy, and information about its use: Everyone has a right under the UK GDPR to access certain personal data being kept about them either on computer or in certain files. Any person who wishes to exercise this right should make a request in writing and submit it to enquiries@belonglondon.com Belong aims to comply with requests for access to personal information or rectification of data as quickly as possible, but will ensure that it is provided within one month, as required by the UK GDPR. A copy of the information will be provided free of charge. However, we may charge a reasonable fee, based on the administrative costs of providing the information, when a request is manifestly unfounded or excessive or if it is a request for further copies of the same information.
  • To have it corrected: Everyone has a right to have inaccurate personal data rectified, or completed if it is incomplete. A request for rectification of information can be made verbally or in writing.
  • To have it erased when we have no lawful basis
  • To continue processing it
  • To restrict its use
  • To object to its use (where processing is done under Legitimate Interest)
  • To object to automated decision-making and profiling- such as opting out of targeted fundraising campaigns. You can opt out of this activity at any time. To do this, email ‘enquiries@belonglondon.com.

We consider each request in accordance with all applicable data protection laws and regulations and may ask you to provide proof of your identity before taking any actions. Your communications with our teams (including by telephone or email) may be monitored and/or recorded for training, quality control and compliance purposes to ensure that we continuously improve our customer service standards.
